What you send us. When you use a form on this site we collect what you type: your name, email address, website and message, and on some forms a company name or phone number. If you email, call or WhatsApp us, we have what you send that way too.
What you type into our free tools. The AI Visibility Checker receives the website address you enter and fetches that site’s public homepage, robots.txt and llms.txt. The AI Keyword Tool receives the topic you enter and sends it to Google’s public autocomplete service to get suggestions. Recent results are cached for a short time so repeat checks are fast. The checker gives each visitor one free check; to run more you sign in, and we receive your name and email (typed by you, or shared by Google or Facebook if you choose them) and add you to our CRM so we can follow up about your results.
What you type into our chat. The chat on this site (the “Hey, want to chat?” button) is an AI assistant. Your messages, and the page you are on, are sent to our AI provider, Anthropic, to write the replies. If you share your name, email or company in the chat so we can follow up, we save them with a copy of the conversation in our CRM. The conversation is also kept in your own browser so it is still there if you come back; the chat’s “New chat” button clears it.
What is collected automatically. Like every website, our server receives your IP address and browser details with each request. Our free tools keep a scrambled (hashed) form of your IP address to limit how many checks one visitor can run: for one hour for the hourly limit, and for 30 days to remember which site you used your free check on. We use Google Analytics to count visits and understand which pages and tools are used; it uses cookies and records things like pages viewed, approximate location, device type and how you arrived.
We do not ask for payment details, government ID numbers or sensitive personal information through this website, and we do not want them.
We may also email businesses at publicly listed business addresses about our services. Every such email identifies us, includes our mailing address, and stops as soon as you reply “no” or ask to be removed.
Besides a few small functional cookies (the AI Visibility Checker sets one that remembers your free check for 30 days and one that keeps you signed in for up to a year, and one cookie remembers for up to 90 days which link or social network brought you here, so we know where enquiries come from), the only analytics we run is Google Analytics 4. We do not run advertising pixels (such as Meta or TikTok) on this site. Google Analytics sets its own cookies; you can block or delete cookies in your browser, or install Google’s opt-out add-on, and the site will still work. Our fonts are loaded from Google Fonts, which means your browser contacts Google’s servers to fetch them.
We do not sell your personal information, and we do not share it for targeted advertising. We share it only with the providers that run the site and our business tools for us:
We may also disclose information if the law requires it, to protect our rights or safety, or as part of a sale or merger of the business.
Enquiries are kept while we are in contact with you and for as long as needed for our business records, then deleted. Hashed IP addresses used by the free tools expire after one hour (hourly limit) or 30 days (free-check limit). Google Analytics data is kept for the retention period set in our Google account.
Our providers store data in the United States and other countries. By using this site from outside the United States, including from Mexico, you understand your information will be processed there.
You can ask us what personal information we hold about you, ask us to correct it, ask us to delete it, or tell us to stop contacting you. Depending on where you live, the law may give you further rights, including the right to appeal a decision we make about your request. Email hello@ciaobellamarketing.com with the subject “Privacy request”. We will confirm who you are and reply within the time the law in your location requires. We will not treat you differently for using these rights.
This site is for businesses and is not directed at children under 16. We do not knowingly collect their information; if you believe we have, contact us and we will delete it.
We use encrypted connections (HTTPS), keep the site and its software updated, and limit who can see enquiries. No system is perfectly secure, so please do not send sensitive information through the site’s forms.
If we change this policy, we will update it here and change the date at the top.
